Privacy and your data

OCR AI is operated by OMLCloud in Mauritius. The documents you upload often contain personal data, so the service is built to hold as little as possible, for as short a time as possible, protected as well as possible. This page explains what happens to your files.

Where your documents are read

On our own servers, by our own reading engine. Documents are not sent to any other company or AI service.

What we keep

• Extracted data (names, numbers, dates, the columns you add) — until you delete it or wipe your account data.
• Photos and page images — for review only, deleted automatically after the number of days you choose (1–90, default 30). Original uploads are deleted as soon as they have been read.
• Your account — email, name and credit history, for billing.

How it is protected

• Every piece of personal data is encrypted with a key that belongs to your account alone.
• Every upload is scanned for viruses before it is opened. Infected files are deleted without being opened. Zip files are unpacked under strict limits.
• Connections are encrypted (HTTPS). Staff access is limited and logged.

Wiping your data

The account owner can wipe all data at any time in Settings. Wiping deletes every document, photo, record, template and correction, with what OCR AI learned from them, and destroys your encryption key, which makes any copy in our backups unreadable.

Learning from corrections

When you correct a value, the correction helps our reader make fewer mistakes for everyone.

• ID cards: corrections are used for learning only if the account owner ticks “Help improve ID card reading”. It is off by default.
• Business documents (invoices, receipts, bills, statements): corrections are used for learning by default. The owner can switch this off in Settings.
• Learning examples are stored encrypted and separately. Wiping your data deletes your examples too. A model that has already been improved keeps only general patterns, not your documents.
• Your own labels: when you correct a value on an invoice or a bill, OCR AI also remembers the words printed just before it on the page (for example “Montant net”), to read your next documents right. They are encrypted, used only in your workspace, listed in Settings where you can forget any of them, and deleted when you wipe your data.

Your rights

Under the Mauritius Data Protection Act 2017 you can ask to see, correct or delete personal data we hold. Most of this you can do yourself in the app; for anything else contact us through omlcloud.com.
